Hotel Guest Line Agent
Hotel Guest Line Agent is a voice assistant that answers a hotel's in-house guest line for everything that isn't an emergency. It sounds like an unhurried, well-briefed front-desk host. Guests can order room service, request housekeeping or maintenance, book a table or a spa slot, arrange a wake-up call, ask about late checkout, and get answers about breakfast times, the gym, parking or what's worth walking to nearby. Every request lands on a live staff screen.
Agent Overview
Why We Built This
A hotel's in-house guest line is answered by front-desk staff who are also checking people in, handling keys and solving problems in person. Non-emergency calls — breakfast hours, extra towels, a table booking, a room-service order, a late-checkout question, a billing complaint — arrive continuously and each one interrupts a staff member, while requests scribbled on paper or passed verbally get delayed, misheard or lost. Complaints and safety issues in particular need to reach the duty manager immediately, not whenever the desk is free.
The Solution
Front desks lose a lot of time to routine calls: towels, breakfast hours, table bookings, "what's near the hotel?". This agent answers those calls end to end, so staff only get involved when a person is really needed. The agent identifies the guest by room number and last name. It then works through four simple tools: checking the guest, checking restaurant and spa availability, creating a booking, and logging a service request. For bookings it offers two or three nearby times rather than a long list, reads the whole booking back before committing, and gives the guest a reference. Room service orders can be changed freely before they're placed. Prices and totals are worked out in code from the menu, never made up by the AI. Every price, opening time, policy and local recommendation comes from the hotel's own knowledge base. If something isn't there, the agent says so and offers to have the front desk call back. People stay in charge of anything sensitive. Complaints, billing disputes, room change requests and safety issues are escalated immediately: the agent takes the details, logs them as a priority, tells the guest the duty manager is on the way, and stops handling the matter itself. In an emergency it tells the guest to hang up and call the emergency line. Late checkout requests and wake-up calls are logged for the front desk to confirm and set up. A staff companion screen shows the live queue of requests, orders and bookings, with escalations pinned to the top.
How It Works
Greeting and identification
Restaurant and spa bookings
Room service ordering: The guest orders in their own words and can add, remove or swap items freely. The agent reads back the full order with the total, including service charge, and places it only once the guest says yes.
Answers from the hotel's knowledge
Escalation to staff: Complaints, billing disputes, room change requests and safety issues are logged as priority at once. The guest is told the duty manager is on the way, and the agent stops handling the matter.
Live staff screen: Every request, order and booking appears on the staff companion screen as it happens. Escalations are pinned to the top, and staff mark items done as they complete them.
ROI & Impact
- Calls handled without staff: routine guest-line calls make up a large share of front-desk phone traffic. The agent can resolve them fully, with no hold time, at any hour. - Front-desk time recovered: a typical routine call takes 2–4 minutes of staff time. Across 40–60 calls a day, that frees roughly 2–3 hours of front-desk time daily. - Fewer missed or garbled requests: every request is read back to the guest, logged with a reference and shown on the staff screen. Nothing relies on a note scribbled during a busy shift. - Revenue capture: room service and spa bookings are taken instantly, even when the desk is busy, instead of being lost when a guest gives up on a ringing line. - Faster escalation: complaints and safety issues reach the duty manager's queue straight away, flagged as priority.
